Start with the client's operating requirements: who can spend, who approves, who releases payments and who reconciles the results. An accountant's ability to prepare a transaction should not automatically include authority to move money.
List the entities, currencies, accounting systems and payment types in scope. Decide whether the client is changing banking, adding spend controls or replacing an accounts-payable process. Those are different projects with different risks.

Ramp's accounting automation offering focuses on connecting spend information with accounting workflows. Evaluate it using your client's actual coding dimensions, receipt requirements and approval structure.
Test an expense split between departments, a missing receipt, a rejected transaction and a correction after synchronization. Confirm the supported accounting integration and the exact plan required. Do not infer universal field coverage from a logo.
A successful sync is not a reconciled account. Check that supporting documents, clearing entries and fees reach the close process in a form the reviewer can use.
Brex: examine multi-client access and responsibilities
Brex ProAccess provides an accountant-facing way to move between client accounts. Evaluate staff access and client separation rather than assuming a shared dashboard provides the correct authority model.
Demonstrate the roles for bookkeeping, bill preparation, approval and payment release. If global entities or currencies matter, obtain explicit confirmation for the countries, account types and legal entities involved.
For an existing Brex client, compare the cost of improving its configuration with the disruption of switching. Do not replace a functioning platform solely because another vendor's demo looks more automated.
Mercury: examine the banking and spend workflow together
Mercury states that it is a fintech company, not an FDIC-insured bank, and identifies partner banks that provide banking services. Its spend management offering adds another workflow to evaluate alongside account operations.
Confirm account eligibility, the legal institution holding deposits, applicable insurance conditions and the terms of any sweep arrangement directly in current account documentation. This article does not promise a coverage amount.
Test statement access, staff permissions, expense evidence and accounting exports. If using more than one financial platform, define which account funds each payment and how transfers reconcile.

Compare the complete price and terms
Request current written pricing for the plan, users, platform fees, payment methods, foreign exchange, optional modules and implementation. The earlier transaction-fee list and blanket “free” comparison are not retained as current quotes.
Treat rewards and promotions separately from workflow fit. Confirm customer eligibility and redemption conditions; a referral relationship does not guarantee that every client receives the same benefit.
Request current security and service-provider documentation for the actual products proposed. Corporate ownership news, vendor customer counts and claimed time savings are not substitutes for your own control testing.
Roll out without disrupting the close
Reconcile the current account, inventory outstanding payments and identify recurring funding instructions before changing anything. Preserve statements and exports, assign a cutover owner and retain the old workflow until the new process is accepted.
