    An accounting firm's CRM should make relationships and handoffs clearer. It should show which entity needs which service, who introduced the relationship, what has been promised and what must happen before delivery begins.

    Define the relationship model first

    A company record is not always the engagement entity. One person may represent several businesses, and a referral partner may be connected to several opportunities. Decide which relationships the team needs to see before importing a spreadsheet.

    Keep the CRM responsible for the relationship and sales process. Define the separate owners of signed scope, billing, documents and practice management work. A deal marked won should not create an uncontrolled cascade of duplicate records.

    Attio: assess flexibility and administration

    Attio positions its CRM around adaptable data, workflows and AI-assisted work. That can be relevant when a standard contact-company-deal model does not describe your relationships well.

    In a demonstration, model one client group with multiple entities, a referral source and two service opportunities. Confirm that the required objects, relationships, permissions and automation are included in your proposed plan. Avoid building a complex model solely because the product allows it.

    Assign a system owner who can maintain field definitions and automation. Flexibility creates value when the team understands the structure; otherwise it creates another set of inconsistent records.

    HubSpot: assess the sales-to-delivery process

    HubSpot Sales Hub presents tools for CRM, pipeline management and sales execution. Compare the specific hubs, seats and capabilities required for your firm's process rather than treating every HubSpot product as one included subscription.

    If Karbon is your delivery system, evaluate the documented HubSpot integration. Demonstrate field mapping, record matching, permitted lifecycle stages and the direction of updates. Do not assume delivery status automatically returns to the CRM.

    Use the same multi-entity example in both products. A clean sales demonstration is not enough if the engagement owner cannot identify the correct client record afterward.

    Test the handoff and the exceptions

    Never create invoices, charge a client or launch an engagement simply because a contact was added. Financial and delivery actions need explicit conditions and appropriate approval.

    Compare costs and AI access honestly

    Use current vendor quotes for the actual objects, permissions, staff roles, automation and AI usage you need. The previous price and promotional grid is not retained as a reliable current quote.

    Include any required onboarding, usage credits, additional hubs, proposal tools, middleware and implementation work. Identify which existing subscriptions will genuinely be retired. A lower seat price is not necessarily a lower operating cost.

    For AI, begin with bounded tasks such as preparing an internal relationship summary. Check source accuracy and access boundaries before permitting record updates or external communication. Confirm current data-use and retention terms with the provider.

    Migrate for adoption, not just record counts

    Deduplicate carefully, preserve referral attribution and map historical stages. Reconcile a sample of related entities and open opportunities before switching the team. Retain an export and a rollback plan.

    Have a partner and an administrator complete the same daily tasks without help. Measure missing handoffs and overdue follow-ups, not only the volume of logged activity.

    Attio may be a useful shortlist candidate when adaptable relationship modeling is central. HubSpot may fit when its sales tooling and available connections match the firm. There is no defensible universal team-size threshold that decides the choice.
